There’s a question many freelancers don’t ask when they hire an AI assistant. Not because they don’t care. But because they don’t quite know how to phrase it.

The question is this: what am I giving access to, where does that information go, and who can see it?

It’s a reasonable question. Because an AI assistant that works well doesn’t operate in the abstract. It works with your real email, your real calendar, your real client messages. And that deserves a concrete answer—not a paragraph of marketing.

What data does an AI assistant actually handle?

It depends on how you configure it. But in a typical freelancer setup, an AI assistant may have access to:

  • Your email: to read, classify, or respond to messages
  • Your calendar: to check availability, confirm appointments, or schedule calls
  • Telegram or WhatsApp conversations: if that’s the channel you use to interact with it
  • Documents you upload: quotes, contracts, client records

What it typically does not access (unless you explicitly configure it): your online banking, your social media accounts without explicit permission, or files in folders you haven’t connected.

The key is that you decide what gets connected. A properly configured assistant only has access to what it needs to do its job.

Where is that data stored?

This is where differences really matter.

Many popular AI tools store data on servers in the United States. That has concrete implications: the provider may be subject to U.S. laws that allow government access to foreign users’ data (such as the Cloud Act). This isn’t science fiction—it’s a real consideration for any professional handling client information.

European servers are not automatically more secure, but they are subject to GDPR, which is significantly stricter than its U.S. equivalent. That means more rights for you and clearer obligations for the provider.

Before hiring any AI assistant, ask where the servers are located. It’s not a technical question—it’s common sense.

Can the provider’s team see your data?

The honest answer is: it depends on the provider—and they should tell you.

There are two common models:

  • No human access: data is processed automatically and provider employees cannot read your conversations. This is ideal.
  • Supervised access: in some cases, to resolve technical issues, a technical team may access logs or conversations. If this happens, it should be clearly stated in the terms of service.

There’s a third variation worth watching: using your data to train AI models. Some free or low-cost services do exactly this. Your conversations with the assistant are used to improve the general model. For a freelancer discussing clients, pricing, or strategies, this is a serious issue.

The 5 questions you should ask before hiring

You don’t need to be a lawyer or a developer to protect yourself. You just need to ask:

  • Where are the servers located? Europe or the U.S. If it’s not clearly stated, that’s a red flag.
  • Do you use my data to train your models? Acceptable answer: no. Concerning answer: silence or ambiguity.
  • What encryption do you use to store my data? You don’t need to understand the technical details, but they should give a clear answer. AES-256 is the standard for serious services.
  • Can any of your employees read my conversations? If yes, under what circumstances and with what safeguards?
  • What happens to my data if I cancel? Is it deleted? When? Can I export it?

A serious provider answers these questions without getting defensive.
